HFC has flexibility with tournaments. Coaches/teams are able to choose the tournaments they want to register for, rather than paying an upfront fee.
Team fees only cover the costs of TCSL summer/fall Festivals and TCSL Final Four.
As a result, the team manager may have the added burden of team fee collection and may use their own credit card to cover the cost until reimbursement occurs.
HFC has approved the following “Team Fees & Tournament Fees” policy and procedures.
1. Teams should choose their preferred tournaments.
- U9/10-minimal attendance at the festival
- U11/12-minimal 2 tournaments, 3 preferred.
- U13plus-minimal 2 tournaments, 3 preferred with overnight option.
a. Coaches and team managers should be diligent in getting as many of their own players to the tournament, rather than requesting "subs" to assist".
b. Generally, the team should split the costs equally among all players. However, if a player is unable to make multiple tournaments, they may be considered for an "opt out of the fee". (Ideally players should be attending and dates flexed to increase attendance).
Team managers have two choices when deciding on how to collect team and tournament
fees.
Option 1:
1. Team managers pay for registration and use their personal accounts with reimbursement from family.
2. If a parent does not pay the team manager within 30 days of request, the team manager should alert HFC director/administrator and request reimbursement from HFC using the "tournament reimbursement form".
3. HFC will refund the team manager for the amount owed by the family.
4. HFC will direct bill the family that did not paid via our registration system.
Option 2:
- Team manager alert HFC administer and DOC the amount they expect to pay for tournaments.
- Team manager will fill out the "tournament reimbursement request form" and a check will be sent to the team manager.
- The administer will bill each family amount owed via our registration system.
Option 3:
1. Team manager determines which tournaments they want to participate in.
2. If able, HFC admin will register for the tournament
3. HFC admin will direct bill the families via our registration system.
If a family continues to not pay their outstanding fees, HFC may consider revoking their player pass or not allow them to continue in future seasons.
